JOB POSITION DETAILS:

AVI Health & Community Services is looking for a Human Resources Assistant with strong administrative skills and human resource experience, preferably (but not required) in a union environment.  This is a hybrid role, with Fridays (at least) being an in-office day at our downtown Victoria office.

The successful Human Resources Assistant will be focused on keeping the paperwork processes of our Human Resources (HR) team flowing, including handling our job postings, writing our hiring letters and contracts, helping staff with their onboarding paperwork, ensuring our HR files are up to date (including scanning paperwork), running reports about key HR information, assisting with benefits management and doing the first look through of applications for our positions.  Experience with recruitment and selection will be an asset to this position and a passion for paperwork and processes are key.  We have a team of over 150 people and are always hiring and handling adjustments to current positions (such as when a leave from 1 day/week is requested by an employee, etc.)

The Human Resources Assistant supports staff who hold multiple, intersecting identities including (but not limited to) people who use/d drugs, people who navigate their own mental wellness daily, people with lived/living experience of HIV and hepatitis C, and LGBTQ2S+ people - from a sex positive, person centered and harm reduction-based approach. 

The successful candidate embodies collaboration, works from a relational perspective, is supportive and empathetic, and upholds AVI’s harm reduction, social justice, trauma-informed care and cultural humility values with staff.

KEY DUTIES AND RESPONSIBILITES

  1. Ensuring the job specifics of each job posting are accurate regarding pay, term, etc.
  2. Managing job postings, including posting in several places, finding new recruitment opportunities and keeping track of expiry dates.
  3. Screening candidates before sending to the hiring manager(s).
  4. Assisting the hiring manager as needed with interview setup of candidates.
  5. Writing hire letters and excluded contracts for new hires as well as change letters.
  6. Sending new hire paperwork for each new hire.
  7. Assist new hires with the completion of their employment orientation package including verification of credentials and criminal record checks.
  8. Administrating new hire training processes (providing information, tracking completion, etc.)
  9. Coordinating with payroll re: new hires, major changes to existing staff hours, etc.
  10. Benefits Management (Municipal Pension Plan, Blue Cross)
  11. Complete any pay-related reports for WorkSafeBC, long term disability claims, etc.
  12. Maintain current HR files and databases (currently, digital and paper – paper is being phased out, so a scanning project will be part of this role’s duties)
  13. Perform audits to ensure all required employee documentation is collected and maintained
  14. Supportively communicate with applicants and staff as needed about recruitment and onboarding, other human resource communiques.
  15. Maintains confidentiality of all human resource information.
  16. Performs other related duties as assigned.

QUALIFICATIONS:

  • 1-2 years of recent, related Canadian (preferably BC) Human Resources experience or an equivalent combination of education, training, and experience.
  • Experience in recruitment and selection
  • Experience with BC Employment Standards Act
  • Knowledge of practices and procedures related to human resources.
  • Excellent computer skills, including fluent knowledge of Word, Excel and Outlook
  • Excellent  communication and interpersonal abilities
  • Experience in the not-for-profit realm would be an asset but not necessary.
  • Experience in a unionized environment an asset
  • Demonstrated commitment to social justice principles and practices, including harm reduction, anti-racism, decolonization, combating stigma related to drug use, HIV, hepatitis C, and challenging gendered oppression, ableism, homophobia, and transphobia. 
  • Must be able to work Fridays in office at our downtown Victoria location.
  • Must be able to work remotely 1-2 days per week.
  • Employment subject to criminal record check for working with vulnerable populations.
  • To comply with current BC Public Health Orders, must be fully vaccinated for COVID-19 or have an approved medical exemption. Proof of vaccination status will be required for successful applicants for positions covered by the order.

  • Strong interpersonal skills including tact, respect and diplomacy.
  • Ability to communicate effectively, both verbally and in writing
  • Excellent communication skills and ability to communicate effectively across different mediums, including using standard computer programs (e.g. Zoom, Word, Excel, Outlook, Teams).
  • Strong administrative skills
  • Ability to establish and maintain positive working relationships.
  • Ability to analyze and resolve problems.
  • Ability to do mathematical and financial calculations (with a spreadsheet)
  • Ability to apply sound judgement: stay grounded and use creativity, flexibility, and assertiveness when working through complex and sometimes urgent situations.
  • Knowledge of harm reduction or social justice would be an asset but not necessary.

JOB SPECFICS:

  • Hybrid Schedule: 22.5 hours/week (3 days per week), with at least one of those days being in-office on Fridays.  Working from home will be required for some of the days of the week (you will be office-sharing with other members of our HR team so only some days are available in the office.)
  • Pay: $32.00/hour
  • Stats & Stat In Lieu Payments: This position will receive a paid day off on any statutory holidays they are eligible for but will also receive a 5% Stat in Lieu payment as their 3 day/week schedule will not often qualify them under the BC Standards Act rules. This means the hourly rate for this position will actually be 5% higher.
  • Term: This position runs until November 30, 2023
  • Union: AVI is a union environment under the Collective Agreement: HEABC & Health Services & Support Community Subsector Association 2019-2022 and this role is an Excluded Position.
  • Benefits: This position will be eligible for extended health, life and AD&D on the 1st of the next month that starts after this position begins.  AVI pays for the entire cost of the plan on behalf of its staff.
  • Pension: This position is immediately eligible to join the Municipal Pension Plan. At this time, AVI contributes an additional 9.31% towards your pension account.
  • Other Perks: This position gets 8% vacation (equivalent to 4 weeks, prorated for part time), receives Stat In Lieu payments of 5% on each paycheque and has a Sick Bank of 6.9%.  Sick and Vacation Banks are both accessible after your first 3 months at AVI.
  • Proof of Vaccination Required: AVI is under BC's Health Services Order and continues to require proof of vaccination.
  • Hours of Work, Days Off and Work Area may be subject to change.
