Payroll Clerk - Contractor

JOB POSITION DETAILS:

AVI Health & Community Services is looking for a 9 month Payroll Clerk contractor, preferably with experience with payroll processing in a union environment.  This position will work remotely.

The successful Payroll Clerk contractor will be processing biweekly payroll for 100-125 employees, some union, some excluded as well as enrolling eligible staff into the benefits and pension plans and removing staff who are no longer eligible for those plans. 

JOB SPECIFICS:

  • Hours: This position would work approx. 45 hours/payroll cycle (2.5 days/week is estimated)
  • Pay: $40/hour as a contractor. 
  • Type and Term: This is a contractor position and runs from January to September 30, 2023.  The position is excluded from the union.
  • Payroll System Details: Training will be provided on our payroll system: Inclusion.  As well, this position would be supported through Human Resources and the person who currently runs our payroll will be available for questions throughout the 9 month contract.

KEY DUTIES AND RESPONSIBILITES

  1. Processing of payroll every other Tuesday and subsequent reporting using Inclusion and Excel, including performing earnings calculations, and transmission of payroll information.
  2. Ensures completion of payroll duties. Verifies the accuracy of payroll reports. 
  3. As needed, investigates and resolves discrepancies, and follows up on payroll needs with staff members.
  4. Onboards into the payroll system new staff, makes appropriate updates to staff profiles when they change roles and payroll categories (example: moves from an included union role to an excluded role.)
  5. Benefits Management: Activates and terminates eligible employees into the Blue Cross and Municipal Pension Plan.
  6. Ensures completion of year-end reporting including annual T-4 slips, and related summaries. Collects information required for budgets and audits.
  7. Supportively communicates with staff about payroll needs and errors.
  8. Completes and maintains records and compiles information including preparing ROE’s, sick and vacation and seniority reports. 
  9. Performs analyses and summaries such as calculating retroactive payments, vacation and sick banks, and benefit entitlements.
  10. Maintains confidentiality of our payroll information by using an AVI email address while working at home remotely.
  11. Performs other related duties as assigned. 

QUALIFICATIONS:

  • Recent, related British Columbia payroll experience or an equivalent combination of education, training, and experience.
  • Knowledge of practices and procedures related to payroll
  • Excellent computer skills including fluent knowledge of Word, Excel and Outlook
  • Excellent  communication and interpersonal abilities
  • Must be able to work Tuesdays (our payroll cycle’s most active day)
  • Must be able to work remotely

SKILLS AND ABILITIES:

  • Ability to work remotely – required
  • Strong interpersonal skills including tact, respect and diplomacy
  • Ability to communicate effectively, both verbally and in writing
  • Excellent organizational, attention to detail and problem solving skills
  • Ability to analyze and resolve problems
  • Ability to do mathematical and financial calculations (with a spreadsheet)
  • Ability to maintain confidentiality
  • Ability to apply sound judgement: stay grounded and use creativity, flexibility, and assertiveness when working through complex and often urgent situations
  • Experience in the not-for-profit realm would be an asset but not necessary
  • Knowledge of harm reduction or social justice would be an asset but not necessary
