We're Hiring! Care Coordinator (Westshore)

Job Summary: The Care Coordinator /Medical Administrator will oversee the daily operation of the medical office by performing medical and secretarial duties, and help to maintain an efficient and cooperative operation.

Grid Level: Grid 10, $21.53/hour

Hours of Work: 16 hours/week;Tuesday and Thursday, 8:00am - 4:30pm and 9:30am - 6:00pm

Key Duties and Responsibilities:

  1. Manages all invoicing and accounts receivable and follow up on variances
  2. Works closely with support staff, assigns work, determines training requirements, and provides feedback and orientation
  3. Performs or ensures completion of secretarial duties for the clinic
  4. Maintains record keeping/filing systems, screens and prioritizes incoming materials, manages schedules
  5. Manages medical referrals according to instructions and procedures
  6. Prepares documents and materials for physician clinics and/or patient visits as required
  7. Assists with internal audits

Additional Duties and Responsibilities:

  1. Develops, evaluates, and implements clinic policies, procedures and standards
  2. Develops short and long-term plans to ensure excellent patient care
  3. Maintains health care staff schedules and appointments
  4. Is the designated Occupational Health and Safety staff person for the site and attends agency OHS meeting by phone
  5. Performs other related duties as assigned


Education, Training, and Experience:

  • Minimum three years’ recent medical office experience, or an equivalent
  • combination of education, training, and experience
  • Experience with OHS standards and procedures
  • Valid Class 5 BC Driver’s License

Professional Registration or License:

Not required.

Skills and Abilities:

  • Ability to communicate effectively, both verbally and in writing
  • Knowledge of medical terminology and medical office procedures
  • Ability to do financial calculations
  • Ability to evaluate and monitor administrative systems and procedures
  • Ability to plan, organize, and prioritize
  • Ability to supervise
  • Ability to analyze and solve problems
