Reporting to the Harm Reduction Services Manager, the Harm Reduction Services Assistant Manager will support the Harm Reduction Manager in the management of all aspects of the operations and programming of the Harm Reduction Services Program in Victoria. The Assistant Manager will have primary responsibility for the administration of the program including scheduling, operations as well as acting for the Manager, during absences, to provide supervision and support to the Harm Reduction Services team. Most importantly, this position will have the support to work from a relational perspective. This is critical to ensure a supportive and empathetic working environment for all staff, and to uphold our harm reduction values with people accessing our services and supports. Duties and Responsibilities
- Assisting the Manager with the coordination of the Harm Reduction Services Victoria programs including planning, organizing, staffing, guiding and monitoring program activities including:
- Developing and maintaining administrative and operational functions.
- Scheduling program staff, including ensuring appropriate staffing levels to ensure program operations
- Scheduling and coordinating staff meetings and professional development trainings
- Recruitment, hiring and orientation of staff
- Tracking and responding to issues raised by the Occupational Health and Safety committee and implement recommendations.
- Tracking, administering and managing requests for resources from the manager and staff.
- Participating in partner, funder, community meetings and other stakeholder engagement activities
- Planning, evaluation, and program development as directed.
- Reporting: designing and maintaining spreadsheets for data collection for all contracts, collating and verifying information for most contracts, assisting program staff to establish systems to track information needed for funders.
- Providing coverage for the Harm Reduction Services Manager while are on vacation or other absences.
- Working in the Harm Reduction Drop-in and Overdose Prevention Room providing direct support and services to service-users alongside Harm Reduction staff members
- Maintaining the safety of all program spaces by following protocols related to violence prevention and critical incidents (such as overdose prevention and response)
- Performing related duties as required.
The Harm Reduction Assistant Manager must have the following qualifications:
- University degree at bachelor’s level in relevant field i.e. Education, Social Work, Social Sciences, or equivalent combination of related experience and education
- 3 - 5 years in a management or supervisory role preferably within a non-profit or community
- 3-5 years demonstrated experience in the operations and administration of programs including excellent computer skills
- Experience delivering direct programs and front-line services to clients
- Demonstrated skills, experience, and knowledge in the areas of mental health, addictions, harm reduction/health promotion practices, blood borne infections and diseases, and issues of poverty
- Experience working with diverse populations including street involved communities; Indigenous Persons; queer communities; people who use drugs; sex trade workers; multicultural and disability communities
- Relevant or applicable training in the provision of culturally safe care and a demonstrated commitment to anti-colonial practice
- Employment subject to criminal record check for working with vulnerable populations
- First Aid training and experience responding to critical incidents
Skills and Abilities
- Demonstrated experience in the direct delivery of social services, ideally in a harm reduction setting including program management and supervision of diverse staff and volunteer teams
- Demonstrated commitment to the policy and practice of harm reduction, cultural safety and trauma and violence informed practices in the provision of client care
- Demonstrated understanding of the continuing and on-going impact of colonization, and anti-colonial practices and principles
- Demonstrated understanding of the importance and role of people who use drugs in the development, delivery, and evaluation of services intended to benefit them
- Positive approach, flexible, resourceful, and enjoys working in a dynamic, informal, and relational workplace.
- Excellent inter-personal skills including the ability to coach and mentor staff, facilitate conflict resolution and collaboration
- Excellent communications skills, both written and oral
- Excellent organizational, prioritization and time management skills
- Ability to work with diverse groups of stakeholders including people impacted by poverty, substance use, criminalization, people who use drugs, service providers, funders and other community members
- Demonstrated ability to be flexible and versatile in a changing work environment while maintaining effectiveness and efficiency
- Experience with data collection and reporting techniques is an asset
